How we handle your information when you send us an enquiry.
Who is responsible?

Which information do we use?
When you complete a contact form, we receive your name, email address and message. A phone number is optional. We use this information to answer your question, help you choose a class or arrange an appointment. Without a name, email address and message, we cannot handle your enquiry through the form. You can also email us directly.
Please do not share medical details through these forms. They are not intended for medical records or health intakes. Use the separate intake or contact route agreed with the studio for that purpose.
Why can we use this information?
For enquiries about a possible class or appointment, we process the necessary information to take steps at your request before entering into a contract, or to perform that contract. For other general enquiries, we rely on our legitimate interest in maintaining personal contact and answering questions properly. You can object to processing based on that legitimate interest.
Where does your message go?
We store the message in the website administration and may receive it by email at the studio. Authorised staff, website administrators and our hosting and email providers may need access to handle the enquiry or provide technical management and support. Submitting this form does not sign you up for a newsletter or advertising campaign.
How long do we keep your message?
We delete general contact enquiries and related email correspondence no later than six months after the enquiry has been resolved, or earlier if no longer needed. We review this periodically. If an enquiry leads to a booking or contract, we retain only the information still needed for that purpose or for legally required administration, for the applicable periods. This does not justify keeping your entire contact message indefinitely.
Deleted information may remain temporarily in recovery backups until those backups are replaced under the configured backup schedule. Those copies are for recovery, not for handling new enquiries. After a recovery, we reapply previously completed deletions.
Your rights
Contact info@pilatesnoord.nl to request access, correction, deletion, restriction or, where applicable, transfer of your information. You can also object to processing. We normally respond within one month. If a request is complex, we explain in time why an extension is needed. You can also complain to the Dutch Data Protection Authority: www.autoriteitpersoonsgegevens.nl.
Other parts of the website
This information covers the contact forms. Bookings, payments, intakes, website visits and external services involve separate processing. Sending a contact form does not book a class, make a payment or complete a health intake.
